Bills: common problems and fixes
The vendor is missing, a bill will not show as overdue, there is no Delete, the totals look off, and other bill questions.
| My vendor is not in the Vendor list on the bill form | If you archived them, go to Vendors, tick Show Archived and choose Restore on their row. Otherwise choose + New Vendor beside the list, type the name and choose Add Vendor. It is added and picked on the bill. Add their other details later under Vendors. |
|---|---|
| The Due Date filled itself in | The vendor has Payment Terms, such as Net 30, so Todah counted from the Issue Date. Change the date if the supplier's invoice says something else, or change the vendor's Payment Terms under Vendors → Edit. |
| A bill is past due but does not show Overdue | It has no Due Date. Choose Edit on the bill and add one. Only bills with a due date can become Overdue. |
| I cannot find Delete on a bill or category | Only owners and admins can delete bills and expense categories, so the option is shown only to them. Ask an owner or admin. A vendor can be deleted only while it has no bills; a vendor with bills can be archived instead. |
| Only an owner or admin can delete … | You are a team member without the owner or admin role. Ask one of them to delete it for you. |
| A category says some bill lines use it | When you delete it, choose another category under Move Those Lines To, so the lines keep a category. See Expense categories. |
| My total is a cent off the supplier's | Todah rounds tax line by line; some suppliers round once on the total. Choose Edit and adjust one line's price by a cent so the totals match, or note it in Notes. |
| The tax on my bill is $0.00 | The lines are set to No tax or other rate. Choose Edit on the bill and pick the tax on each line in the Sales Tax box above Tax %. If new lines always start with no tax, choose Make Default on your usual tax in Settings → Books & Tax, in the Sales Tax card. |
| Uncategorised at the top of Bills is not $0.00 | Some bill lines have no category. Choose Edit on those bills and pick a category on each line. They count as overhead until you do. |
| A bill shows Partially Paid | Payments recorded on it add up to less than its total. Choose Mark Paid to see the history and record the rest. See Pay part of a bill. |
| A bill shows Paid but I have not paid it | Someone recorded a payment, it was saved from a scanned receipt, or it was matched to a bank line. Open Payments to see which, then an owner or admin chooses Mark Unpaid, or Unmatch the line in Banking if it was matched. |
| That is more than … still owing on this bill. | The amount you typed is more than the balance. Check the History list for payments already recorded. |
| This bill was paid by a matched bank transaction. | Mark Unpaid only removes payments recorded by hand. Undo a bank payment with Unmatch on that line in Banking. |
| Can I email bills into Todah? | Save the attachment from the email to your computer or phone, then use Scan Bill or Receipt, or attach it to a bill with Attachments. |
| Can I pay a supplier from Todah? | Todah records the payments you make; the money moves through your own bank, by cheque, card or e-Transfer. |
