Pay part of a bill (instalments and deposits)
Record a payment for less than the full bill, see what is still owing, and finish paying it later.
Sometimes you pay a supplier in pieces: a deposit up front, then the rest on delivery, or monthly instalments. Todah lets you record each payment as it happens. The bill shows Partially Paid and keeps track of the balance, the amount still owing, until the last payment settles it.
Step by step
- In the menu on the left, choose Bills.
- On the bill's row, choose Mark Paid. The Mark Bill Paid window opens with the balance in Amount.
- Change Amount to what you actually paid, for example 500.
- Set Payment Date and Method, and add a Reference if you have one.
- Choose Record Payment. The message says how much is still owing, and the bill shows Partially Paid.
- When you make the next payment, choose Mark Paid again. Amount now starts at what is left, and the History list shows the payments so far.
- When the payments add up to the total, the bill changes to Paid.
Good to know
- You cannot record more than the balance still owing. Todah says "That is more than … still owing on this bill." so a typing mistake cannot leave a bill overpaid.
- A part-paid bill that passes its due date shows Overdue until it is paid in full.
- Matching a bank withdrawal that is smaller than the balance records it as a part payment in the same way. Split Match shows each bill with the amount it still owes.
- Reports count only what is still owing, not the full bill: Accounts Payable on the Balance Sheet, and on Business and Enterprise the Payables Aging list and the Outstanding column of Expenses by Vendor.
- If you change a bill's lines with Edit, its status follows the new total: a smaller total that the payments now cover makes it Paid. You cannot make the total smaller than what has already been paid; remove a payment first.
Changing your mind
An owner or admin can remove a payment recorded by mistake with the × beside it in the History list. A payment that came from a bank line is removed by unmatching that line in Banking.
