Change or delete a bill
How to correct anything on a saved bill with Edit, and who can delete a bill.
A saved bill can be changed at any time: the vendor, bill number, dates, lines, categories, tax and notes. Payments are changed separately, in the Mark Paid or Payments window.
Edit a bill
- In the menu on the left, choose Bills.
- Find the bill. On a Paid bill, choose Edit on its row. On a bill you still owe, open the three-dot More actions button on its row and choose Edit.
- A form titled Edit Bill opens with everything filled in.
- Make your changes. You can add, change or remove lines, and pick a vendor or add one with + New Vendor.
- Choose Save Changes. The message "Bill updated" appears.
What happens when you save
- Todah works out the totals again from the lines, and your reports and sales tax figures update at once, including past months.
- Payments already recorded stay. If the new total equals what has been paid, the bill becomes Paid; if it is more, the bill shows Partially Paid with the new balance.
- The total cannot be made smaller than what has already been paid. Todah says how much has been paid; remove a payment first, then edit.
- Attachments stay with the bill.
Other changes on the Bills list
- Payments: Mark Paid, Payments and Mark Unpaid (owners and admins). See Mark a bill paid.
- Files: Attachments, to add or remove the supplier's PDF or a photo. See Attach files.
Delete a bill
- In the menu on the left, choose Bills.
- On the bill's row, open the three-dot More actions button and choose Delete.
- Confirm "Delete this bill? Its attached files are deleted with it.". The message "Bill deleted" appears and the bill leaves the list.
- Only owners and admins can delete a bill, so Delete is shown only to them. If someone else tries, Todah says "Only an owner or admin can delete bills. Ask one of them to do it for you."
- The bill's cost and tax leave your reports at once, including past months and your sales tax figures.
- Its attached files and its payments are deleted with it, and the storage the files used is freed.
- A bill paid by a matched bank line cannot be deleted while it is matched. Todah says "This bill is matched to a bank transaction. Unmatch that transaction in Banking first, then delete the bill." Choose Unmatch on that line in Banking: the line goes back to Needs attention and the payment comes off the bill. Then delete the bill. A line split across several bills is unmatched from all of them, so match it again to the bills you are keeping.
- Owners and admins are told under the bell when someone else deletes a bill, and it is recorded in the Audit Log.
Be careful: Deleting a bill cannot be undone. If you already filed a GST/HST return that included it, talk to your accountant before you change or delete it.
