Who can archive, remove, restore and delete
The one rule for clients, vendors, saved items and portal links: anyone can hide and bring back; only the owner and admins delete, and only what nothing uses.
Everyone on your team can add and edit clients, vendors, expense categories and saved items. Hiding something from your lists can always be undone, so anyone can do it. Deleting cannot be undone, so it is kept for the owner and admins, and only for records nothing else uses.
| Archive or restore a client | Anyone on the team. |
|---|---|
| Archive or restore a vendor | Anyone on the team. |
| Remove or restore a saved item | Anyone on the team. Removing is the item's version of archiving. |
| Email or copy a client portal link | Anyone on the team. |
| Import clients | Anyone on the team. |
| Delete a client | Owner and admins, and only a client with no invoices, quotes, credit notes, recurring schedules or rebilled costs. |
| Delete a vendor | Owner and admins, and only a vendor with no bills. |
| Delete an expense category | Owner and admins. If bill lines use the category, Todah first asks which category to move them to, or to leave them Uncategorised. |
| Revoke a client portal link | Owner and admins. |
What you see
- Delete and Revoke Link appear only for the owner and admins. A member who reaches one another way sees Only the owner or an admin can do this. Ask one of them to make the change. (for vendors and expense categories: Only an owner or admin can delete vendors. Ask one of them to do it for you.) and nothing changes.
- Delete appears only on a client or vendor that can be deleted. If a client or vendor gains documents in the meantime, Todah refuses with a message naming how many documents it has and suggesting Archive.
To delete something only an owner or admin can, ask one of them, or ask them to change your role on the Team page. To tidy a list, archive instead: it is quicker, and nothing is lost.
