Change, archive or delete a client

Edit a client's details at any time, archive a client you no longer work with, and delete one added by mistake.

On this page

  • Change a client
  • What a change does to documents you already sent
  • Archive a client
  • Delete a client

Change a client

  1. In the menu on the left, choose Clients.
  2. Find the client and choose Edit on their row. The form opens, headed Edit Client, with their details filled in.
  3. Change what you need.
  4. Choose Save Changes. The message Client updated appears.

Good to know: Two parts of the form save the moment you change them, without Save Changes: the people under Other People at This Client, and the Client Logo. Choosing Cancel afterwards keeps those changes.

What a change does to documents you already sent

  • Drafts follow the client. A draft invoice or quote shows the client's details as they are now, every time you open it.
  • Sent documents keep the details they were sent with. When an invoice or quote leaves Draft (it is sent, marked Sent, paid or cancelled), Todah keeps a copy of the client's name, address, email and phone on it. Opening, downloading or re-sending it later shows that copy, so the client's paperwork and yours always match.
  • Credit notes keep the details the client had on the day the credit note was made.
  • Emails still go to the client's current addresses. A reminder about an old invoice goes to the email address the client has today.
  • The client's logo is the one exception: documents show the logo the client has now.

So after a client moves or changes their name, new invoices carry the new details and your past invoices stay as issued. See What a sent document shows when a client's details change.

Archive a client

Archive a client you no longer work with. An archived client leaves the Clients list and the client lists on new invoices, quotes, credit notes and recurring schedules, so they stop getting in the way. Everything is kept: their invoices, quotes, credit notes, statement, portal link and contacts. Anyone on your team can archive and restore a client.

  1. In the menu on the left, choose Clients.
  2. On the client's row, open the More actions menu (the three dots) and choose Archive.
  3. The client leaves the list and the message Client archived. Tick Show Archived to see it again. appears.
  • To see archived clients, tick Show Archived at the top of the list. They show the label Archived.
  • To bring one back, tick Show Archived and choose Restore on their row. The message Client restored appears and they are in your lists again.
  • A draft that was written for a client before you archived them keeps that client: the Bill To list on that draft still shows them.
  • An archived client's documents, statement and portal keep working.

Delete a client

Delete is for a client added by mistake: one with no invoices, quotes, credit notes, recurring schedules or rebilled costs. Only the owner and admins can delete, and the Delete action appears only on clients that can be deleted.

  1. In the menu on the left, choose Clients.
  2. On the client's row, open the More actions menu (the three dots) and choose Delete.
  3. Your browser asks Delete this client for good? This cannot be undone. Choose OK to delete, or Cancel to keep them.

Be careful: Deleting a client cannot be undone, and their contacts and portal link go with them. If a client has any documents, Todah refuses with a message such as Acme Ltd has 4 documents (invoices, quotes, credit notes, recurring schedules or rebilled costs), so it cannot be deleted. Archive it instead: it leaves your lists and everything is kept.

Tip: If you just want a client to stop getting reminders, tick No Automatic Emails instead of archiving them.
