What a sent document shows when a client's details change
Why a sent invoice keeps the address it was sent with, why a draft shows the new one, and how to issue a document with the new details.
The Bill To block is the part of an invoice that says who it is for: the client's name, address, email and phone. On a quote the same block is called Prepared For, and on a credit note Credited To.
A document your client already has should never change behind their back. So Todah keeps a copy of the Bill To on each document at the moment it leaves Draft, and shows that copy from then on.
| Draft invoice or quote | Shows the client's details as they are now. Change the client and the draft changes with them. |
|---|---|
| Invoice or quote that is Sent, Paid, Accepted, Declined or Cancelled | Shows the details it had when it left Draft: when it was emailed with Send, marked Sent, paid or cancelled. Changing the client later does not change it, in the app, in the PDF, on the client's pay page or on the quote page. |
| Credit note | Shows the details the client had on the day the credit note was made. |
| Statement | Always drawn up today, so it shows the client's current details. |
Who receives the emails
Copies of the Bill To affect only what the document shows. Every email, including reminders and re-sending an older invoice, goes to the client's current email addresses, as set under This address receives and Other People at This Client.
If a sent invoice needs the new details
- Update the client first, so their new details are saved.
- Open the invoice and cancel it, as described in the article on editing, duplicating, cancelling and deleting invoices.
- Duplicate it. The copy is a draft, so it shows the client's new details.
- Send the copy. It keeps the new details from now on.
Good to know: Documents issued before this copy was kept were given one from the client's details on the day Todah started keeping them.
