The Clients screen: find, sort and manage your clients

Where every client you invoice is listed, what each column and button does, and how to search, sort and show archived clients.

A client is a person or business you sell to: the name that goes in the Bill To box of an invoice and the Prepared For box of a quote. Every invoice, quote, credit note and recurring schedule is addressed to a client, so the Clients screen is usually the first place you go after setting up your business.

To open it, in the menu on the left, under Sales, choose Clients. The page is headed Clients.

The buttons at the top

Show ArchivedA tick box. Leave it empty to see the clients you work with. Tick it to also see archived clients, each marked Archived, with a Restore button.
Import ClientsAdds many clients at once from a CSV file saved from a spreadsheet or another program. See Import clients from a spreadsheet.
New ClientOpens the form to add one client.

What the list shows

NameThe client's name, as it prints on your documents. An archived client also shows the label Archived.
EmailThe client's main email address, or a dash if there is none. Other people at the client are listed inside the client; open it with Edit to see them.
PhoneThe client's phone number, or a dash.
Actions at the end of each rowEdit opens the client's details. The other actions sit in the More actions menu, the button with three dots: View Statement opens what they owe you in a new browser tab, Email Statement sends that statement to them, Client Portal Link opens their private portal link, Archive hides the client, and Delete removes a client who has no documents. On an archived client, Restore is on the row itself.

Good to know: Delete appears only for the owner and admins, and only on a client with no invoices, quotes, credit notes, recurring schedules or rebilled costs. For any other client, Archive is the way to tidy the list.

To see what one client owes, choose View Statement on their row. For totals across all clients, see Reports.

Finding a client

  • Search: type in the box marked Search name, email or phone. The list narrows as you type. Press Esc to empty the box. Pressing the / key anywhere on the page jumps to the search box.
  • Sort: choose a column heading (Name, Email or Phone). The small pair of triangles beside it lights up to show which way the list runs; choose it again to reverse. Todah remembers the order you chose on this device. On a narrow screen such as a phone, the headings are replaced by a Sort list above the rows.
  • Clear Filters appears when a search is narrowing the list; choose it to see every client again.
  • Count: the toolbar shows how many clients there are, or for example 3 of 41 clients while you are searching.
  • Pages: the list shows 20 clients at a time. Use the previous and next arrows at the bottom, or change Rows per Page to 50 or 100.

When the list is empty

A new workspace shows No clients yet with an Add Client button. Choose it, or New Client at the top of the list, to add your first one, or choose Import Clients to bring in a whole list.

Good to know: Every current plan includes as many clients as you need.
