Stop automatic emails to one client
Turn off payment reminders, payment receipts and refund notices for a single client, and what to do when a client unsubscribes.
Todah can email clients on its own: reminders before and after an invoice is due, receipts when a payment is recorded, and notices when a payment is refunded. Sometimes one client should not get these, for example a client you prefer to call, or one who asked to stop. The No Automatic Emails tick does that for one client without changing anything for the others.
- In the menu on the left, choose Clients.
- Choose Edit on the client's row.
- Beside This address receives, tick No Automatic Emails.
- Choose Save Changes.
What it stops and what it does not
- Stops: automatic payment reminders, payment receipts and refund notices, for everyone at that client.
- Keeps: invoices, quotes, statements and portal links you send yourself.
- When you record a payment for this client, the Email the client a receipt box starts unticked, with the note This client is set to No Automatic Emails. Tick the box to send a receipt for this payment anyway. The same goes for Email the client a refund notice when you record a refund: tick it to send one.
- Leaves the invoice, its balance and how overdue it is exactly as they are. You still follow up, for example by phone.
When a client unsubscribes
Reminder emails carry an unsubscribe link. If the client uses it, Todah ticks No Automatic Emails on that client for you. Only you can untick it, usually after the client asks you to turn reminders back on. The change is recorded in the Audit Log.
