Ignore, reconcile or delete a bank line

What Ignore, Un-ignore, Reconciled, Undo Reconciled and Delete do, and when to use each.

On this page

  • Ignore
  • Un-ignore
  • Delete

These actions let you set aside a line that should not count, tick off lines you have checked against your statement, and remove lines that should never have been there.

Reconciled

Reconciling is checking each matched line against the statement your bank sends you, so you know Todah and the bank agree. Do it once a month, when the month's lines are all matched.

  1. In Banking, set the Statement drop-down to the account you are checking.
  2. Set Show to Matched.
  3. With your bank statement beside you, check each line's date and amount.
  4. Choose Reconciled on each line that agrees. Its status changes to Reconciled and it moves to the Reconciled view.
  • A Reconciled line is locked. Unmatch is not offered on it, and if you try through another route Todah says "This line is marked Reconciled. Choose Undo Reconciled first."
  • Undo Reconciled takes the tick off and puts the line back to Matched, keeping its match.
  • Reconciled changes nothing on the invoice or bill. It is your record that the line was checked.

Ignore

  1. In Banking, find the line in Transactions.
  2. Choose More actions → Ignore at the end of its row.
  3. The line's status changes to Ignored and it leaves the Needs attention view. You can still find it with Show → Ignored.

An ignored line does not count anywhere: not in the in, out and net totals on the Banking screen, and not in the bank balance on your balance sheet. Use Ignore only for a line that is not really the business's money, for example a duplicate you want to keep visible instead of deleting.

Good to know: Real business money always has a better place than Ignore: a bank fee is a bill (Create a Bill from This Entry), a transfer between your accounts is a Transfer, money you took out is an Owner draw. Ignoring them would leave your bank balance wrong.

A matched line cannot be ignored; Todah says "Unmatch this line before ignoring it."

Un-ignore

On an ignored line, choose Un-ignore. It goes back to Needs attention as Unmatched.

Delete

Delete is under More actions at the end of the row (on an Ignored or Reconciled line it is the bin icon beside the button). It deletes the line after you confirm "Delete this transaction? A line from a connected bank will not be brought in again."

  • Use it for lines that should not exist at all: a duplicate, a line imported from the wrong file, a line you typed in by mistake.
  • If the line was matched, Todah first undoes the match: it removes any payment it recorded on an invoice or bill (each goes back to what it owed before), removes income it recorded with Record Income, and releases the other half of a transfer.
  • A line that came from a bank feed is remembered as deleted. Later checks of the bank, and switching its account off and on again, never bring it back.

Be careful: Deleting cannot be undone. To bring a line back you would need to add it by hand, or import it again from a statement file.
