Settings → Payments: every setting explained
A tour of the Payments tab: the Card Payments card and its buttons, the Card Fees table, the Reminders & Receipts switches, Preview Today's Emails, and the Failed Emails list.
To get there: in the menu on the left, choose Settings, then the Payments tab. It has up to three cards. Anyone on your team can look; only the owner or an admin can change anything.
Card Payments
This card shows whether your business can take card payments, and what they cost. It looks different depending on how far you are with Stripe.
| Set Up Card Payments | Shown before you have started. Opens Stripe's setup pages, where Stripe first asks whether you are an individual or a company. See "Set up card payments". |
|---|---|
| Setup Not Finished | You started with Stripe but it still needs details before you can take payments. Shows Finish Setup and I have finished, check again. |
| Finish Setup | Takes you back into Stripe's setup, where you left off. |
| I have finished, check again | Asks Stripe for the latest state of your account and updates the card. |
| Accepting Card Payments | Green label: you are set up and every invoice you send carries a Pay button (unless you turn it off on that invoice). If it adds "though payouts are still pending with Stripe", money can come in and Stripe is holding the payouts to your bank until it has what it needs. |
| Open Stripe Dashboard | Opens your own Stripe dashboard in a new tab: payments, payouts to your bank, refunds and disputes. |
| Refresh Status | Asks Stripe for the latest state of your account, for example after you have updated something in the Stripe dashboard. |
| Test Mode | Only on test copies of Todah: no real money moves. |
Card Fees
A table of what each card payment costs you, shown before and after you set up. The line under it names Todah's share ("Stripe's rate plus Todah's …") and says the fee is taken from each payment, so you pay nothing when nobody pays.
| Canadian Cards | 2.9% + 60¢ per payment. |
|---|---|
| Cards Issued Outside Canada | 3.7% + 60¢ per payment. |
| Currency Conversion | Add 2% when the payment has to be converted between currencies. |
Reminders & Receipts
These switches decide which emails Todah sends your clients by itself, in your business name, with replies coming to you. Each one saves the moment you tick or untick it ("Reminder settings saved"). None of them goes to a client you have set to No Automatic Emails.
| Overdue Invoice Reminders | Emails your client after the due date until the invoice is paid. Off to begin with. |
|---|---|
| Before an Invoice Is Due | A short note a few days before the due date. Off to begin with. |
| Payment Receipts | Thanks your client when a payment is recorded, with the invoice attached. Skipped for payments over 14 days old. Off to begin with. While it is off, card payers are offered a receipt to print or save instead of an email. |
| Refund Notices | Tells your client when a card refund is processed. On to begin with. |
The reminders and their timing (which days, what time of day) are explained in "Payment reminders: switching them on and choosing the schedule". The time of day and how firmly to chase are set under Settings → Notifications → Schedule; the link on this card takes you there.
| Preview Today's Emails | Shows which reminders would go out today, to whom and for how much, without sending anything. If none would, it says "Nothing would go out today: no invoice has hit a reminder day." It previews reminders only, not receipts. |

Failed Emails
This card appears only when something has gone wrong. It lists emails Todah could not deliver (such as a receipt or a refund notice), with the address, the subject and the reason. Retrying (with a count) means Todah is still trying; it retries for about twelve hours. Not Delivered means it has stopped trying, usually because the address is wrong. Fix the client's email address and send again.
Good to know: Reminders and receipts start off so that bringing in your old books never emails clients about old invoices. Turn them on once your invoices are up to date.
