Send, copy or replace an invoice's payment link
Use Share Payment Link to email an unpaid invoice again with its Pay button, to copy the link so you can text it or paste it anywhere, or to replace a link that went to the wrong person.
Every invoice that offers card payment has its own payment link: the page where your client sees the invoice and chooses Pay now. The invoice email already contains it. Share Payment Link is for when the client asks you to send it again, or to text it to them, or when you need to replace it.
Before you start
- Card payments must be set up (Settings → Payments shows Accepting Card Payments).
- The invoice must have been sent (or marked as sent), not be cancelled, and still have something owing.
- Card payment must be on for the invoice (Let this client pay by card ticked, or Turn On Card Payment chosen on its row).
- The invoice must not have a card dispute open (Disputed) or lost (Dispute Lost).
- Share Payment Link appears on an invoice's row only when all four are true. While your workspace is not accepting cards, no row offers it.
Step by step
- In the menu on the left, choose Invoices.
- Find the invoice and choose Share Payment Link on its row. When a row has several actions, it is under the three-dot More actions button.
- The Send Payment Link window opens. It shows who it will email ("Email it to …") and the link itself in the Payment Link box.
- To email it, choose Send. This sends the invoice email again, with the Pay this invoice online button in it. A message confirms "Invoice sent to (address)".
- To copy it instead, choose Copy Link. A message says "Payment link copied". Paste it into a text message, a chat, or your own email.
What each part means
| Email it to | The address that receives invoices for this client. If it says "no email address on this client", the Send button is hidden; add an email to the client, or use Copy Link. |
|---|---|
| Payment Link | The link itself. You can click in the box and copy it by hand. |
| Revoke Payment Link | Owners and admins only. Replaces the link with a new one. The old link stops working straight away. |
| Copy Link | Copies the link and closes the window. If your browser blocks copying, Todah selects the link and asks you to press Ctrl+C (Cmd+C on a Mac). |
| Send | Emails the whole invoice again, with its Pay button. Anyone else at the client who is set to receive invoices is copied, as when you first sent it. |
Replace a link that went to the wrong person
Anyone who has the link can see the invoice and pay it. If it was forwarded, sent to the wrong address or posted somewhere it should not be, replace it.
- Choose Share Payment Link on the invoice's row.
- Choose Revoke Payment Link.
- A box asks you to confirm: "Replace this payment link? The old link stops working at once, including the Pay button in emails already sent. You can then send the new link." Choose OK.
- A message says "Payment link replaced. The old link no longer works." The Payment Link box now shows the new link.
- Choose Send to email the invoice with the new link to your client, or Copy Link to share it yourself.
Anyone who opens the old link sees Link not found, with a note to ask for a new one. Your client portal link is separate and is not changed.
Messages you might see
- "Set up card payments in Settings › Payments before sending this": your workspace is not accepting cards yet.
- "Card payment is switched off for this invoice. Choose Turn On Card Payment on its row to send a pay link.": card payment is off for that invoice. See "Turn card payment off (or on) for one invoice".
- "A card payment on this invoice is disputed, so card payment is paused on it. Sort out the balance with your client directly.": see "When a client disputes a card payment (chargeback)".
Be careful: Revoke Payment Link cannot be undone: the old link is gone for good, including the Pay button in every email already sent for that invoice. Send your client the new one.
