The Reports screen: a guided tour
Where the reports live, how to pick a period or an As At date, how the four groups of reports are laid out, how to export one, and which reports come with each plan.
A report is a summary of your invoices, bills, credit notes, bank lines and journal entries, added up for a period of time or as at a day. You never type anything into a report: it is built for you from what you have already entered. If a number on a report looks wrong, the fix is always in the document or entry behind it.
Opening Reports
- In the menu on the left, under Accounting, choose Reports.
- The page opens on Profit and Loss, for Fiscal YTD (your financial year so far).
- Choose a group of reports in the row of tabs: Performance, Receivables & Payables, Accounting & Tax or Owners.
- Choose a report in the row underneath. The report appears below.
- To look at a different stretch of time, choose one of the period buttons, or type your own From and To dates and choose Apply.
- For the Balance Sheet or Trial Balance, pick the day in the As At box instead.
Choosing the period
The bar at the top of the page sets the dates for every report that covers a period. What you pick stays in place as you move between reports.
| This Month | From the first day of this month up to today. |
|---|---|
| This Quarter | From the first day of this calendar quarter (1 January, 1 April, 1 July or 1 October) up to today. |
| Fiscal YTD | Fiscal year to date: from the first day of your financial year up to today. Your financial year starts in the month chosen in Settings → Books & Tax → Fiscal Year Starts In (January unless you change it). This is the period the page opens on. |
| All Time | Everything you have ever entered, with no start or end date. Month-by-month reports start at the month of your first invoice, credit note, bill or bank line. |
| From and To boxes, then Apply | Your own period, for example 1 April to 30 June for a quarterly GST/HST return. Leave From empty to start at the beginning; leave To empty to run up to the latest entry. Nothing changes until you choose Apply. |
| The label beside the dates | Shows the period you are looking at, for example 2026-01-01 to 2026-10-10, or All time. |
| As At | Appears on the Balance Sheet and Trial Balance only. These two reports are a picture of one day, so instead of a period you pick that day. It starts on today. |
| The chart button | Shows or hides the Money In and Out chart above the reports: one pair of columns per month, money invoiced (less credit notes) against money billed, for the period you chose. |
| Export Format and Export | Downloads the report you are looking at. Pick Excel, CSV or PDF in the box, then choose Export. Full Report Pack (Excel) downloads several reports in one spreadsheet. Export appears on the Business and Enterprise plans. See Exporting reports. |
Good to know: The period buttons stop at today. An invoice dated next week is left out of This Month until you pick All Time or type a later To date.
What is in each group
- Performance: Profit and Loss (every plan), plus Cost of Sales, Overheads and Cash Flow (Business and Enterprise).
- Receivables & Payables: Ageing, and By Client and Vendor (Business and Enterprise). Receivables is money clients owe you; payables is money you owe suppliers.
- Accounting & Tax: Sales Tax, Balance Sheet and Trial Balance (every plan), plus Bank Ledger (Business and Enterprise). On Business and Enterprise the Sales Tax report is laid out like the CRA's GST/HST return, with a breakdown by tax.
- Owners: Distributions, for partner profit-sharing (Enterprise).
A group whose reports are not in your plan is not shown. On Free you see Performance and Accounting & Tax.
What every report counts
- Invoices count from the moment they are no longer a draft, on their Issue Date, whether or not the client has paid yet. Draft and Cancelled invoices are not counted.
- Credit notes are taken off your sales, and off the tax you collected, on their Issue Date. Void credit notes are not counted.
- Bills count on their Issue Date, paid or not. A bill is an invoice a supplier sends you.
- Amounts on the Profit and Loss are before tax. Tax is reported on its own, in Sales Tax.
- Cash Flow, Bank Ledger and the bank line of the Balance Sheet come from your bank lines (imported statements or bank feeds). Lines you marked Ignored are left out of all three.
- Bank lines you deal with on the Banking screen: Create a Bill from This Entry makes a bill and Record Income from This Deposit makes a paid invoice, and those count like any other bill or invoice. Lines categorised as Owner contribution, Owner draw, Loan received, Loan repayment or Card payout, and transfers between your own accounts, are not income or spending: they never change the Profit and Loss, and owner money and loans show on the Balance Sheet.
- Journal entries (Journal Entries in the menu) appear on the Balance Sheet and Trial Balance.
- Ageing shows what is unpaid today. Balance Sheet and Trial Balance show the day in the As At box.
Tip: Accountants call this way of counting accrual: a sale counts when you invoice it, not when the money arrives. If you want to know what actually came into the bank, read Cash Flow.
Good to know: Every member of your team can open Reports. Journal Entries is for owners and admins.
