Recharge expenses to a client on an invoice
Mark a cost on a bill as billable to a client, with a markup, and pull it onto their next invoice so nothing is forgotten.
Sometimes you pay for something on a client's behalf: parts for their job, a permit, a flight. Todah lets you mark that cost as billable to the client when you enter the bill, add a markup, and then pull it onto their invoice with one button. Until it is invoiced it waits as unbilled, so it is not forgotten.
Mark a cost as billable
- Enter the bill as usual (Bills → New Bill).
- On the line with the cost, choose the client in Rebill To.
- In +%, type your markup as a percentage, or leave it at 0 to pass the cost on at what you paid.
- Save the bill.
Add it to the invoice
- Start a new invoice (Invoices → New Invoice), or Edit a draft.
- Under Bill To, choose the client. If costs are waiting, a note appears under the lines, for example 2 unbilled cost(s) for this client, and the amount to recharge.
- Choose Add Unbilled Expenses. One line is added for each cost, with quantity 1, the price including your markup, and your default tax rate.
- Check the lines and change the wording, price or tax if needed.
- Choose Create Invoice (or Save Changes).
What happens next
- The costs are marked as billed to that invoice when you save it, so they will not be offered again.
- If you remove one of those lines before saving, that cost goes back on the unbilled list.
- If the invoice is cancelled or deleted, its costs go back on the unbilled list for the client.
- Nothing is pulled in without you pressing the button.
Good to know: The markup is worked out on the cost before tax. The tax you paid on the purchase is yours to claim back, so it is not marked up. Tax on the recharge line is whatever rate you set on the invoice line.
Good to know: A cost that has already been invoiced cannot be changed on the bill: Todah says to edit the invoice instead.
