Mark an invoice as sent without emailing it
Issue an invoice you delivered by hand, or one you are bringing in from another system, so you can record payments on it without emailing your client.
Sending emails the invoice to your client. Sometimes the client already has it: you handed over a printed copy, you emailed it from your own mail program, or it is an old invoice you are entering so your books are complete. Mark as Sent issues the invoice in Todah without any email, so it counts in your books, can be paid, and shows Overdue when it is late.
Step by step
- In the menu on the left, choose Invoices.
- Find the draft. On its row, open the three-dot More actions button and choose Mark as Sent.
- Read the question and choose OK.
- The message "Invoice marked as sent. Nothing was emailed." appears and the status changes to Sent.
- If the client has paid, choose Record Payment on the row and record the money.
What happens next
- The invoice counts as a sale on its issue date, in your reports and sales tax.
- The amounts, lines and dates stay as issued, the same as an emailed invoice. The client's name, address, email and phone under Bill To are kept as they are now, so a later change to the client record does not alter it.
- If payment reminders are on and the invoice has a due date with money owing, reminders go to the client on your schedule. To bring in old invoices quietly, record their payments before switching reminders on, or leave the due date empty on ones that are already settled.
- You can still email it later with Resend.
Tip: Bringing in a stack of old invoices? Create each one with its original Issue Date, choose Mark as Sent, and record the payment with the date it was received. A receipt is not emailed for a payment dated more than 14 days ago.
