Send from your own email domain
Make your invoices and quotes come from your own address, such as billing@yourcompany.ca, by adding a few records to your domain.
Normally Todah sends your emails from its own address with your business name on them, and replies come to you. If your business has its own domain (the part after the @ in your email, such as yourcompany.ca), you can prove to Todah's email provider that you own it. After that, your invoices and quotes are sent from your own address, with no mention of Todah.
Before you start
- Your workspace must be on Business or Enterprise. On Free the card says Sending from your own domain is part of Business, with a See Plans button.
- You must be the owner or an admin.
- You need to be able to change your domain's DNS settings. DNS is a list of records kept by whoever you bought your domain from or whoever runs your website. If someone else looks after it, have them ready.
- Set your From Email in Settings → Email to an address at that domain, such as billing@yourcompany.ca.
Step by step
- Choose Settings, then the Email tab.
- Find the Send from Your Own Domain card. The Right now line tells you how your emails are sent today.
- Type your domain in Sending Domain, without www or an @, for example yourcompany.ca.
- Choose Add Domain. A table of records appears, with Type, Name, Value, Priority and Status.
- Sign in to the place that manages your domain's DNS in another browser tab.
- For each row of the table, add a record of that Type, with that Name and Value, and the Priority if one is shown. Use the Copy button beside each value so nothing is mistyped.
- Come back to Todah and choose Check DNS. Each row's Status says Found or Not Seen.
- When every record is found and the provider has checked them, the card says Verified. Invoices now come from your domain.
What the messages mean
| Awaiting DNS | Todah has your domain but has not been able to see any records yet. |
|---|---|
| None of the records are visible yet | DNS changes can take a few hours to spread. Add the records, then check back later. |
| Some of the records found | Check the rows marked Not Seen against your DNS. Some registrars add your domain to the end of the Name by themselves, so a name typed in full ends up doubled. |
| All records are published but not marked verified | Nothing is left to change in DNS. If this lasts more than a few hours, the delay is on the email provider's side. |
| Could not reach the mail provider to check | Your settings are unchanged. Try Check DNS again shortly. |
| Verified | Your emails now come from your own address. |
Changing your mind
Disconnect asks you to confirm, then stops sending from your domain. Your invoices go back to being sent by Todah with your name on them and replies to your From Email. You can leave the DNS records in place or remove them.
Good to know: Todah only switches to your own address once the email provider itself confirms your records. Until then nothing changes, so your emails keep arriving while you work on it.
