Carry on your invoice and quote numbers

Owner or admin

Set the prefix and next number so your first Todah invoice follows on from the last one your clients saw.

Clients and accountants expect invoice numbers to run in order without gaps or repeats. If your last invoice in your old tool was INV-1041, your first Todah invoice should be INV-1042. Todah writes every number as a prefix (the letters at the front) followed by a number of at least four digits.

Before you start

  • Only owners and admins see the numbering card.
  • Have the number of your last invoice and last quote (some tools call it an estimate) from your old tool.

Step by step

  1. In the menu on the left, choose Settings, then the Books & Tax tab.
  2. Find the Invoice & Quote Numbers card.
  3. In Invoice Prefix, type the letters that go before the number, exactly as on your old invoices, including any dash.
  4. In Next Invoice Number, type the number your next invoice should get.
  5. Do the same for Quote Prefix and Next Quote Number.
  6. Check the preview line under the boxes, for example Next invoice: INV-1042.
  7. Choose Save Numbering. A message confirms Numbering saved.

What each box means

Invoice PrefixUp to 20 letters, numbers, spaces or the characters . _ / # -. It can be empty. Example: INV- or ALT-2026-.
Next Invoice NumberA whole number from 1 upward. Numbers under 1000 are padded with zeros to four digits (42 becomes 0042).
Quote PrefixThe same, for quotes.
Next Quote NumberThe same, for quotes.

Errors you might see

  • INV-1042 is already used. Choose a number after your last invoice: an invoice with that exact number already exists in Todah. Pick a higher number.
  • Invoice prefix: up to 20 letters, numbers, spaces or . _ / # -: remove other characters.
  • Invoice next number must be between 1 and 99,999,999.

What happens next

The next invoice you create gets the number in the preview, and each one after counts up by one. If you delete a draft invoice that holds the newest number, that number is given back and used again. A number a client has seen is never reused: cancel that invoice instead of deleting it.

Tip: Starting a new year? Change the prefix (for example ALT-2027-) and set Next Invoice Number to 1.
